Add it to your email
- Press Copy signature above.
- On a computer, open Gmail, click the Settings gear at the top right, then See all settings.
- On the General tab, scroll to the Signature section. If you have no signature yet, click Create new and give it a name.
- Click in the signature box and paste (Ctrl+V, or Cmd+V on a Mac).
- Pick it under Signature defaults for new emails and replies, then click Save Changes at the bottom of the page.

How do I add my signature to Gmail?
Press Copy signature. In Gmail on a computer, click the Settings gear, then See all settings, and scroll to the Signature section on the General tab. Create a signature if you have none, paste into the box, choose it as the default for new emails and replies, and click Save Changes at the bottom. Gmail allows up to 10,000 characters, and the tool shows how many your signature uses.
Why does my pasted signature lose its formatting?
Most often it was pasted as plain text. Use Copy signature, not Copy HTML source, and paste with Ctrl+V or Cmd+V rather than a paste-as-text command. In Apple Mail, untick Always match my default message font in the signature settings. If your browser refuses the clipboard, select the preview with your mouse, copy it and paste that instead.
How do I add a photo or logo?
Email signatures cannot carry a file from your computer through the copy and paste, so the image has to be online already. Upload it to your website or use the address of your existing team photo or logo, then paste that https:// address into the Image URL field. Use a square picture for the circle, rounded and square shapes, and choose Original shape for a wide logo. Recipients whose email app blocks images until they allow them will see the rest of the signature as normal.
Why are social media links shown as text instead of icons?
Icons are images, and images in signatures have to be hosted online and are often hidden by default until the reader allows them. Text links always appear, work in every email app, and add almost nothing to the size of the signature. If you want icons, host small PNG versions on your own site and add them in your email app after pasting.
Will the signature look the same in Outlook?
Close to it. The signature is built from tables with inline styles and standard fonts, which is how email designers make layouts hold up in Outlook, Gmail and Apple Mail. The known difference is that classic Outlook for Windows draws round and rounded photos as squares, because it renders email with Word. The rest of the layout, colours and links carry over.
Is my information uploaded anywhere?
No. The signature is built by JavaScript in your browser, and your name, phone number and email address are never sent to us. The only outside request is your own image, which the preview loads from the address you enter.
About this tool
This email signature generator turns a short form into a signature that pastes cleanly into Gmail, Outlook, Apple Mail and Thunderbird. Enter your name, job title, department, company, phone and mobile numbers, email, website and address, and optionally a photo or logo, links to LinkedIn, X, Instagram, Facebook, YouTube, GitHub and TikTok, and a disclaimer. Seven templates arrange the same details in different ways: Classic, Sidebar, Minimal, Compact, Bold, Centered and Corporate. You choose the accent colour, the font and the text size, and the preview shows the exact signature that will be copied.
The HTML is written the way email needs it, not the way web pages are built. Layout uses tables rather than modern CSS, every style is written inline because many email apps drop style sheets, and the fonts on offer are ones already installed on nearly every computer, such as Arial, Verdana, Georgia and Times New Roman, so the recipient sees what you see. Phone numbers become tap-to-call links, the email address a mailto link and the website a normal link. Everything you type is escaped before it goes into the HTML, and links are limited to web, email and phone addresses.
Copy signature puts the signature on your clipboard as formatted text, with a plain-text version alongside it, so it pastes into your email settings with its layout intact. Copy HTML source gives you the raw code for Thunderbird’s Use HTML option or for email tools that take HTML, and Download .html saves a file for Thunderbird’s signature-from-file setting. A few habits keep a signature useful. Show one phone number or two at most, and the website rather than a list of every page. Keep the photo small, about 60 to 100 pixels wide, and host it on your own site so it keeps loading as long as the site is up. Avoid long legal text unless your organisation requires it, since it pushes against Gmail’s 10,000-character limit and gets repeated in every reply. And send yourself a test email to check the result on your phone as well as your computer.
